Most small businesses do not decide to go keyless. They arrive at it. It starts with a key that never came back after a summer hire moved on, and a decision to let it go because rekeying the building felt like an overreaction. Then it happens again. Then somebody realises nobody can actually say how many working keys exist or who holds them, and that the honest answer to "could a former employee walk in tonight" is "probably, yes."
That is the problem keyless entry solves. Not glamour, not an app — the ability to remove one person's access in under a minute without touching a single lock. Everything else on this page is detail underneath that one capability.
Where a business bleeds access, in the order it usually happens
- Staff turnover. Seasonal and shift-heavy trades run high turnover by nature. Every departure is either a rekey or an unclosed loop, and after a few unclosed loops the key control is fiction.
- The shared back-door key. One key, several people, kept somewhere convenient. It gets copied at a kiosk once and the copy is invisible forever.
- Cleaners, delivery and contractors. People who need in outside your hours, whose employer changes without telling you.
- The one manager who opens up. A single point of failure that becomes an emergency the morning that person is unreachable.
- Interior doors nobody thought about. Stock room, office, server closet, the cabinet holding the register drawers. These usually still run on the same key as everything else, which means access is all-or-nothing.
Write those five down for your own building before you shop for hardware. The list decides which doors need to be electronic and which are fine as they are, and it will usually be a shorter list than a salesperson would like.
The simplest version that actually works
You do not have to wire a building to get most of the benefit. A commercial-grade battery keypad lock on the doors that matter — back of house, stock room, office — gets you a code per person with no cabling, no controller and no monthly anything.
What you gain: individual codes, instant removal, no keys circulating. What you do not get: any record of who came in, and no way to change a code without walking to the door. For a two-door operation where the owner is on site most days, that is often the entire correct solution and we will say so.
The important word is commercial-grade. Residential keypad hardware on a door that cycles a few hundred times a week is a false economy — the mechanism is not built for that duty and it will show inside a season.
When you need a real access control system
Move up when you need one of these three things: a record of who opened what and when, schedules so a credential works Tuesday morning and not Saturday night, or central control of several doors without walking to each one. At that point the hardware splits into parts worth understanding, because the quotes you receive will assume you know them.
What holds the door, and what lets it go
Electric strikes sit in the frame, in place of the ordinary strike plate. The door keeps its normal lockset; the frame releases the latch on command. This is the least disruptive way to electrify an existing opening and it suits most single wood or hollow-metal doors. It also keeps a purely mechanical way in — your key still works the lockset if the electronics are down.
Magnetic locks hold the door with an electromagnet at the head of the frame against a steel armature on the door. Enormous holding force, no moving parts, no wear. The catch is fundamental: a magnet holds only while energised, so the release arrangement is not an accessory, it is the design. Every maglock opening needs a compliant way out that works with the power off, and which doors may have one at all is a question for the building code and the fire plan, not for taste.
Electrified exit hardware — a push bar with the electronics built in — is the usual answer on a main exit, because the bar already guarantees egress mechanically and the electronics only govern who gets in from outside.
How the system knows who is asking
Keypads are free to issue and cost nothing per person. Their weakness is human: codes get told to people, written on the back of something, and shared for convenience. A code-only building drifts toward everyone knowing the same code within a year unless someone actively manages it.
Cards and fobs are a physical thing, one per person, cancelled individually. They cost a little each and get lost, but losing one is a one-minute administrative event rather than a building-wide problem.
Phone credentials ride on a device people already refuse to lose, which is their main advantage. They tie you more tightly to a manufacturer's platform, so ask what happens to the doors if that service changes.
Many small businesses land on cards for staff and a keypad code as the fallback, which is a reasonable place to end up.
Request-to-exit, and the rule that beats every feature
A request-to-exit device tells the controller someone is legitimately leaving — a button by the door, a motion sensor above it, or a switch inside the exit bar — so the door releases and the alarm stays quiet.
Underneath it sits the principle that overrides everything else in this article. Free egress is not a feature and it is not optional. Whatever the outside of a door demands, a person inside must be able to leave through it in one motion, with no code, no card, no key and no special knowledge, whether the power is on or off. Any proposal that quietly trades that away for tidier control is the wrong proposal. If a design ever forces a choice between convenience and getting people out of a building, it is not a choice — and we will not fit it.
Fail-safe and fail-secure
Fail-secure hardware stays locked when power is lost. Fail-safe hardware releases when power is lost. Both are correct hardware; which one belongs on a given opening is determined by that door's role in the building and its fire plan, and it commonly differs from door to door inside the same premises. A stock room and a rear fire exit will not get the same answer.

Battery keypad locks on a business door do far more cycles than a house door and they will need batteries on a schedule, not on a warning. And the warning is less reliable than people assume: a battery reads a healthy voltage while sitting idle, then collapses the moment the motor draws current to move the bolt. So the lock reports charge and refuses to open. Put battery changes on the same calendar as your filter changes and the problem disappears.
Wired hardware moves the same question to the power supply. Ask, before the system is installed, what happens to each door in a power cut, and what standby capacity is behind it. That is a design decision with a documented answer, not something to discover during the first outage.
The doors themselves decide whether any of this works
Commercial doors take abuse — wind, wheeled loads, staff shouldering through with both hands full, and on this coast a constant salt-laden airflow that goes after fasteners, springs and finishes. A door that has dropped in its frame or a closer that no longer pulls it fully home will defeat good hardware quickly, because an electric strike or a motorised bolt has no reserve of force the way a person with a key does.
Before any electronics go on, we look at whether the door closes and latches fully every time on its own, whether the frame is square and the strike aligned, whether the closer is doing its job, and whether the hinges are sound. Skipping that step is the single most common reason an access control installation frustrates the owner within a year.
Managing it after installation, in four habits
- One credential per person. The moment two people share one, you have lost the ability to remove access from just one of them.
- Removal is part of the exit checklist. Same list as the final paycheque. It takes under a minute and it is the whole reason you bought the system.
- Review the list quarterly. Print who has access. Every name you cannot immediately place is an open door.
- Keep the mechanical override documented and controlled. There is almost always a key somewhere in the system for when electronics fail. Know which lock it fits, who holds it, and rekey when that changes.
What drives the cost
We survey and quote the building rather than publish a figure, because the honest number moves with the number of openings, whether each door needs a standalone battery lock or wired hardware, the condition of the existing doors, frames and closers, how far cable has to travel and what it has to travel through, and the credential type you pick. A tidy two-door job on sound doors and a multi-door system on doors that need repair first are not the same work, and any number quoted before someone has looked is a guess.
